Free bank reconciliation template (Excel)
The template has the standard two-sided layout with the formulas already in place. Enter the statement ending balance and your ledger balance, list the reconciling items on their tabs, and the difference cell shows when you’re done.
How a bank reconciliation works
Both sides start from a balance on the same date and adjust for what the other side hasn’t seen yet. When the account is reconciled, the adjusted balances are equal.
| Bank side | Book side |
|---|---|
| Balance per bank statement | Balance per books |
| + Deposits in transit | + Bank credits not yet recorded (interest) |
| − Outstanding checks and payments | − Bank charges not yet recorded (fees) |
| = Adjusted bank balance | = Adjusted book balance |
How the tool matches transactions
You can match or unmatch any lines yourself before downloading. The workbook keeps each line’s position in your original files so every figure can be traced.
| Rule | What it does |
|---|---|
| Check numbers | A ledger check matches the bank line with the same check number and amount, however late it clears. If a number was reused, the most recent check written before the bank date wins. |
| Amount and date | Other lines match on exact amount when the bank date is 3 days before to 10 days after the ledger date (you can change the 10). Lines that clearly name each other pair first; otherwise lines pair in date order so no deposit gets stranded, then each pair takes the closest date. |
| Batched deposits | When one bank deposit equals up to eight ledger receipts, or the bank split one ledger entry, the tool finds the combination, prefers lines whose names match, and flags it for review, especially when another combination also adds up. |
| Voids and returns | A voided check and its reversal in the ledger cancel out, as do a returned (NSF) deposit and its re-deposit in the bank, so neither shows up as a reconciling item. |
| Everything else | Unmatched ledger lines dated on or before the statement end become deposits in transit or outstanding payments. Unmatched bank lines are items to record in the books. Same-amount lines up to 90 days apart are offered as one-click suggestions, and notes point out stale checks, likely duplicate imports and check numbers whose amounts differ. |
Why a bank reconciliation doesn’t balance
A difference that isn’t zero almost always comes from one of these.
| Cause | How to find it |
|---|---|
| A transaction is in the books twice, or not at all | It shows up as an unmatched line on one side. Duplicates usually have an identical twin in the matched list. |
| An amount was keyed incorrectly (for example 45.10 as 41.50) | Both versions stay unmatched: the bank's on one side, yours on the other. The difference is the gap between them. |
| The ledger balance is from a different date than the statement | Use the ledger balance on the statement end date. Every line dated after it is listed separately and left out. |
| The bank download doesn't cover the whole statement | Enter the statement beginning balance. The tool checks that the file's lines explain the change in balance. |
| Money in and money out are reversed in one file | Check the preview in step 2: deposits should be positive. Tick “Reverse money in and money out” if they aren't. |
Frequently asked questions
What is a bank reconciliation?
A bank reconciliation compares the balance on your bank statement with the balance of the bank account in your books on the same date, and explains every difference. Timing items such as deposits in transit and outstanding checks adjust the bank side. Items only the bank knows about, such as fees and interest, adjust the book side. When both adjusted balances agree, the account is reconciled.
How do I use the bank reconciliation template?
Download the Excel template and enter the statement ending balance and your ledger balance on the same date. List deposits in transit, outstanding payments and bank-only items on their tabs. The formulas total each list, and the difference cell shows 0.00 when the account is reconciled.
Which ledger exports work?
Any CSV with a date, a description and either one signed amount column or separate debit and credit columns. In QuickBooks Online, run Transaction Detail by Account for the bank account and export it. In Xero, export Account Transactions for the bank account. Include earlier items that haven't cleared yet, such as last month's outstanding checks, so they can be matched.
Which balance do I enter for the books?
The balance of the bank account in your ledger on the statement end date, for example from the balance sheet or general ledger run to that date.
Is my financial data safe?
Your files are read and matched inside this browser tab. They are not uploaded to Bumblebee or anyone else, and our analytics never record file contents, only counts such as how many lines were matched.
Is it free?
Yes. There's no signup and no limit. The template and the matching tool both run in your browser.
Can I use an Excel file instead of a CSV?
Save it as CSV first: in Excel, choose File → Save As → CSV. The downloaded reconciliation itself is an Excel workbook.
